Job Description
The Executive Assistant (EA) reports directly to the Executive Vice President, Head of Retirement & Wealth and serves as the primary administrative and operational partner to this executive.
While the role is principally dedicated to supporting the Executive Vice President, the Executive Assistant will also provide coordinated support to approximately five senior leaders within the Retirement and Wealth Growth organization. This includes facilitating collaboration across the leadership team, coordinating meetings and strategic planning sessions, and ensuring alignment across priorities.
This position requires exceptional judgement, discretion, executive presence, and the ability to manage complex and competing priorities in a fast-paced, growth-focused environment. The ideal candidate is proactive, highly organized, and capable of anticipating needs to enable effective strategic execution at the highest levels of the organization.
- Serve as the dedicated executive assistant to the Executive Vice President, managing day-to-day administrative and operational needs.
- Act as a trusted advisor and gatekeeper, prioritizing competing demands and ensuring the Executive Vice President’s time is focused on the highest impact initiatives.
- Anticipate scheduling conflicts and proactively resolve issues before they arise.
- Prepare executive briefing materials, presentations, reports, and correspondence.
- Coordinate and support executive-level meetings, business reviews, and strategic planning sessions.
- Provide coordinated administrative support to approximately five senior leaders within the R&W organization.
- Assist with calendar management, meeting coordination, and cross-functional initiatives.
- Track action items and follow up to ensure accountability and alignment across the leadership team.
- Manage complex and dynamic calendars, including internal meetings, external client engagements, and industry events.
- Coordinate travel itineraries and related logistics
- Organize leadership meetings by preparing agendas, compiling materials, and managing follow-up communications.
- Coordinate information flow between the Executive Vice President, senior leaders and internal and external stakeholders.
- Support special projects and strategic initiatives with the R&W function
- Other duties as assigned.
Qualifications
Education & Experience:
Minimum required:
- 10+ years of experience supporting senior-level executives required.
- Bachelor’s degree or equivalent combination of education, experience and training required
Additional preferred:
- Experience in financial services, retirement services, wealth management, or growth-oriented business units.
Skills & Abilities:
- Demonstrated experience managing complex calendars across multiple senior leaders.
- Strong business acumen and understanding of executive operations.
- Exceptional organizational, prioritization, and problem-solving skills.
- High emotional intelligence and the ability to exercise sound judgement and discretion.
- Advanced proficiency in Microsoft Office applications and collaboration tools.
Other Requirements:
- Typical schedule is [Monday–Friday, 8AM to 5PM CT; ability to work evening or weekend hours may be required during peak periods]
- Employees within a 90-minute radius of our Oak Brook, IL headquarters are required to adhere to Company in-office work guidelines of 4 days per month minimum from 10 am to 2 pm (1 of the 4 days must be Monday or Friday)
- Occasional travel (10% annually)
- Ability to provide personal transportation for training or meetings may be required
- Occasionally lifts to 25 pounds
- Prolonged periods of sitting and operating standard office equipment
